Services

Financial administration
  • Managing and controlling a current account and investments in the name of the Body Corporate/Home Owners' Association with a registered bank.
  • Collection of levies.
  • Payment of all creditors on behalf of the Body Corporate/Home Owners' Association e.g. municipal, insurance and repairs.
  • Issuing clearance certificates.

Bookkeeping
  • Maintaining a complete set of financial records (Computerized on Pastel)
  • Accounts of each owners levy statement.
  • Arrange the annual audit of the financial statements with the Body Corporates/Home Owners' Association auditor.
  • Prepare the annual budget.

Meetings
  • Arrange the trustee/directors meetings and the Annual General Meeting.
  • Arrange special meetings where necessary.
  • Attend all meetings.
  • Take and distribute minutes of all meetings.
  • Assist the trustees/directors with advice on meeting procedures e.g. annual general meeting, special meetings, quorums, proxy's, voting rights etc.
  • A quotation will be given if an Inaugural Meeting has to be arranged. This includes copies of the agenda, notice, sectional title plan, budget, management rules, code of conduct and insurance.

Insurance
  • Assist the trustees/dirctors with determining the replacement values for insurance purposes and organizing valuations when necessary.
  • Assisting the trustees/directors with the insurance needs of the building, improvements and other risks.
  • Obtaining quotations.
  • Handling of all insurance claims.

Secretarial
  • Compiling and sending correspondence to owners or tenants.
  • Handling all the correspondence of the Body Corporate/Home Owners' Association.
  • Maintaining records as determined by the Sectional Titles Actand Company Act.
  • Our costs include normal postage, stationary and telephone calls.

Repairs / capital projects
  • Assisting the trustees/directors with the repairs of all communal areas.
  • Obtaining quotations for capital projects on behalf of the trustees/directors.
  • Payment after inspections of capital projects by the trustees/directors.
